Vendor Sprawl: The Hidden Cost in Your Technology Stack

Count your technology vendors. If you're like most hotels, the number is somewhere between 30 and 50. Each one represents a contract, an integration, a security surface, a support relationship, and a line item in your budget.

Vendor sprawl accumulates silently. A new tool here, a point solution there, each solving a real problem in the moment. But over time, the collective weight becomes a serious liability.

The costs are both visible and hidden. Visible: redundant subscriptions, overlapping capabilities, and contracts that auto-renew at unfavorable terms. Hidden: integration fragility, security vulnerabilities, support complexity, and the management overhead of dozens of relationships.

Vendor rationalization is the solution. Audit every vendor, map capabilities to identify redundancy, score each vendor on value and performance, and consolidate where it makes sense — all without disrupting operations.

In a recent engagement, we reduced a resort group's vendor count from 40 to 22 while negotiating $780,000 in contract savings. The reduction in complexity was just as valuable as the cost savings.
